Job Summary

The primary role of the Trust Operations Assistant will be to assist experienced trust personnel with day-to-day operations associated with handling client matters and delivering exceptional experiences to clients.  The ideal candidate must be able to communicate effectively and work collaboratively with other trust department personnel.  The ideal candidate will be able to interact with clients and third-party vendors utilized by the trust department.  The ideal candidate will know or have the capacity to learn basic fiduciary and accounting concepts, as well as how to use industry specific software.  The ideal candidate must be able to recognize, protect and maintain the confidential nature of our client relationships.  The ideal candidate will be highly organized, detail oriented, task driven, people oriented, and good with numbers and calculations. 

Primary Duties:

As directed by experienced trust personnel, assist with and complete administrative and operational tasks associated with trust, 401k, and investment accounts including but not limited to the following:

  • Prepare billing statements
  • Create spreadsheets involving assets and date of death values
  • Handle state tax withholdings, tax ledgers, dividend reporting, contributions and distributions within investment accounts, transfers between accounts, and 401k enrollments
  • Assist with rebalancing of investment accounts and trading as directed by Trust Officers
  • Assist in completion of Trust Department internal reviews and reports
  • Provide regular balancing of accounts as directed
  • Process distributions associated with client accounts and corresponding documentation
  • Calculate and prepare client fee statements
  • Process and archive closed accounts
  • Work with tickler systems and electronic file transfer systems
  • Interact with clients and escalate issues to Trust Officers as appropriate
  • Document account files following client interactions and meetings with Trust Officers
  • Service “walk-in” clients and refer or escalate to Trust Officers as appropriate
  • Perform other duties as directed by Trust Department Manager, Trust Officers or other experienced personnel of the Trust Department.

Physical Working Conditions:

Work is performed inside, in the Trust Department, mostly at a desk or at a computer.  Will have contact with customers, public, and co-workers, and is to conduct relationships in a manner that will enhance the professional image of the bank.  Low noise level with no exposure to environmental hazards such as chemicals.

Physical Demands:

Work will be performed sitting at a desk; very low degree of lifting, generally not over 10 pounds in weight or pressure.  Position will require average finger dexterity to operate normal office equipment, such as computer, calculator, etc. Requires ability to express ideas in a clean, thorough, and concise manner.  Requires ability to articulate clearly.

Mental Demands/Competencies:

Semi-skilled, skilled or technical.  Post High School Education (technical or business oriented) or an equivalent combination of education and work experience.  Minimum of 1-3 years direct customer contact experience in financial, accounting, legal or related industry preferred.  Familiarity with investment or accounting concepts preferred.  Must be familiar with Microsoft Excel, Word and Power Point. 

Relationships:

Ultimately responsible to the Trust Department Manager, but will be expected to take direction from Trust Officers, and other senior personnel for fulfillment of functions, responsibilities, and proper interpretation.
